JOB TITLE: Payroll & Administration Specialist

FUNCTION: Human Resources

CITY & COUNTRY: Bucharest, Romania

TYPE OF CONTRACT: Permanent

REPORTING TO: Senior HR Business Partner 

ROLE SUMMARY

JOB OBJECTIVE:  

Specialist role within the local Human Resources team of GBS Romania, responsible for the efficient delivery of relevant processes in payroll and administration area, providing support to employees, as per agreed way of working.  

ACCOUNTABILITIES

  • Performs all activities related to personnel management and payroll services according to work procedures, in areas such as employment, termination and suspension of employment contracts, internal moves and other changes.
  • Uses existing working procedures and instructions in delivering personnel and payroll management services and solutions, using the local HR & Payroll – Charisma – HCM and Online system, as well as the global human resources system (SAP Success Factors) in compliance with all work procedures, SOX Payroll controls, as well as team performance indicators.
  • Supports and performs (as needed) the entire process of personnel administration and payroll calculation (Payroll), monitors the flows related to the processes within the employment cycle (hiring, contractual changes, terminations, suspensions) and Payroll
  • Issues documents corresponding to the different stages of the employment cycle, according to the working procedures and legislation in force
  • Ensures the signing and archiving of documents according to the rules established in the working procedures and the legislation in force
  • Is responsible for managing and updating employee files
  • Provides assistance and advice to all employees regarding the provisions of the company's human resources policies
  • SOX Tester of Payroll controls, strictly implementing each step of running SOX control, in order to complete the checks according to the SOX procedure and to acquire the PASS rating of the monthly Payroll controls.
  • Performs quality checks regularly and consistently to ensure the accuracy and integrity of personnel data processed and other checks to ensure all data is aligned with employment legislation and internal policies and procedures
  • Performs other work tasks, according to professional training at the request of the direct manager and in compliance with the provisions of the applicable Internal Regulations

EXPERIENCE, SKILLS, KNOWLEDGE

  • Previous experience in personnel administration of min 3 years - experience in running payroll is an advantage
  • Very good knowledge of employment legislation
  • Experience in operating human resources information systems
  • Digital capabilities – advanced Excel
  • Good level of English
  • Attention to detail
  • Proactive attitude and solution oriented
